Privacy policy

This privacy policy sets out how Label-Cutter handles, uses and safeguards personal information in line with POPIA. It covers enquiries, service work, parts requests and ordinary website use throughout South Africa.

Information we collect when you enquire

We collect personal information that you send through our contact form, by phone or during a visit to our Kya Sand, Randburg office and showroom. That may include your name, company name, role, contact details, delivery address, machine model information, production requirements and notes about installation or servicing.

When you ask about digital label finishing machines, we may also record technical details that help us handle the request properly, such as roll widths, rewind direction, substrate type, registration mark requirements and the type of finishing line in use.

  • Contact details for your team and accounts staff
  • Machine and production information relevant to the request
  • Service history, spare part notes and commissioning records
  • Website form submissions and message content

How we use the information

We use personal information to manage enquiries, prepare quotations, arrange installation and training, support breakdown repairs, and maintain service records. It also helps us handle spare parts supply, machine checks, preventive maintenance and technical follow-up on equipment such as die-cutting, slitting, rewinding and waste stripping systems.

We may use the information to verify machine specifications, confirm the correct spare parts, schedule technical visits and keep a record of work completed at your site. That record helps us support later service requests and reduces mistakes on repeat machine details.

  • Responding to product and service requests
  • Co-ordinating delivery, installation and commissioning
  • Keeping records for servicing, warranty and support
  • Managing internal administration and statutory obligations

Sharing information only where it is needed

We do not sell personal information. We may share limited details with staff responsible for sales, technical support, training, logistics or administration, and with trusted service providers who assist with hosting, communications or document handling. Those parties may only use the information for the work they carry out for us.

Where a service requires it, information may be shared with a technician, parts handler or delivery partner so that the correct work can be completed. We keep that sharing limited to what is necessary for the job and the related paperwork.

  • Internal staff who handle the relevant request
  • Service providers acting on our instructions
  • Authorities when the law requires disclosure

Storage, security and retention

We store personal information using administrative and technical safeguards intended to protect it from loss, misuse or unauthorised access. Records may be kept in electronic systems and secure files used by Astros Marketing (Pty) Ltd for operational purposes connected to Label-Cutter.

We keep information only for as long as it is needed for the purpose it was collected, or for a longer period where law, tax rules or business records require it. When records are no longer needed, we take reasonable steps to dispose of them safely.

Your rights under POPIA

You may ask for access to the personal information we hold about you, request correction of inaccurate details, or object to certain uses where POPIA allows it. If you want to review, correct or delete information that is no longer required, use our contact form and include enough detail for us to identify the record.

Where we rely on consent for a particular use, you may withdraw that consent, subject to legal or contractual limits. Some records must still be kept for compliance, invoicing, service history or dispute handling, even after a request for deletion.

  • Request access to your personal information
  • Ask for correction of inaccurate details
  • Object to processing in permitted cases
  • Withdraw consent where it applies

Our website may use basic cookies and server logs to keep the site working properly, measure general usage and protect against abuse. These tools may record device details, browser type, pages visited and technical identifiers that do not directly name you.

If our site links to external pages, their own privacy terms apply once you leave our site. We are not responsible for the practices of other websites or services that are not under our control.
